Use the Media Library

The Media Library keeps images, videos, audio, and documents together in the current workspace. Use it to import files, find them again, preview their contents, organize them with albums, tags, and ratings, generate new images, and edit supported raster images.

Before you start

Open a workspace, then select Media Library in the vertical sidebar. Each workspace has its own library.

If Media Library is hidden, open Settings → Features and turn on Media Library under Optional apps. This setting controls whether the Media Library icon appears in the vertical sidebar.

Import files

  1. Select Import media in the Media Library toolbar.
  2. Choose one or more files, then confirm the file picker.
  3. Wait for the import progress to finish.

You can import images, videos, audio files, and common document formats. You can also drag files from your computer onto the Media Library. Dropped folders are skipped; drag the files inside the folder instead.

Importing creates a separate copy inside the current workspace's Media Library. The original file you selected outside Omeruta is not moved or changed.

Find and browse media

Use the controls above the library to narrow or rearrange what you see:

  • Search matches file names and tags.
  • Filter by type shows images, videos, audio, documents, or all types.
  • Filter by minimum rating shows items with at least the selected number of stars. For example, four stars or more includes five-star items.
  • Sort by arranges items by date, name, size, type, or rating. Use the adjacent arrow to switch between ascending and descending order.
  • Grid view shows thumbnails. Use the minus button, thumbnail slider, and plus button to change their size.
  • List view shows the same results as rows.

Select an album above the results to show only its items. Select All Media to leave the album and return to the full library. Large result sets appear in groups; select Load more to show the next group.

The Media and Voice controls change the library's scope. Media shows the complete library. Voice shows saved voice notes, retained dictation, imported audio, Omeruta recordings, and videos that have transcript data. The available type filters change to match the selected scope.

Preview and open an item

Select an item once, then choose how to view it:

  • Press Space for Quick Look. Images appear as a preview, while video and audio include playback controls. Documents can be opened in the computer's default app.
  • Double-click the item, or press Enter when one item is selected, to open the detail view. Images include fit, actual-size, and zoom controls. Audio and video include playback controls.

In Quick Look, use the left and right arrow keys to move through the current results, Enter to open the detail view, and Escape to close. The detail view also uses the current search, album, filters, and sort order when you move to the previous or next item.

Add details, tags, ratings, and albums

Select Show inspector if the inspector is hidden, then select one item. In the inspector you can:

  • edit its name without changing its file format;
  • add notes and an optional http:// or https:// source address;
  • select New tag to manage tags;
  • select Add to album or remove the item from an assigned album;
  • expand Properties to set a rating from one to five stars and review available dimensions, duration, size, file type, and dates;
  • select an image's color swatch to copy its hexadecimal color value, when a palette is available.

To create an album, select Album, enter a name, and select Create. You can add an item by dragging it onto an album or by using Add to album in the inspector.

Hold Command on macOS or Ctrl on Windows while selecting items to build a multi-selection. The inspector then shows the number of selected items and their total size. You can also drag that selection onto an album.

Right-click a selected item for file actions such as opening it in the default app, revealing it on the computer, copying its file path, renaming, duplicating, exporting, copying or pasting tags, and setting a rating. Some actions appear only for supported file types or selection sizes.

Configure AI image generation

Generating an image or using Edit with AI requires an OpenAI or Gemini API key and an image model.

  1. Open Settings → AI.
  2. Configure the OpenAI or Gemini provider you want to use.
  3. Return to the Media Library and choose the provider's image model from the model menu in the generation or AI-editing panel.

If the selected provider is not configured, the panel explains what is missing and disables the action.

AI generation sends the prompt and any selected reference images to the provider named in the panel. Edit with AI sends the source image, prompt, and selected references. Provider terms apply. Do not include an image or information that you do not want sent to that provider.

Generate images, with or without references

  1. Select Generate images with AI in the Media Library toolbar.
  2. Choose an image model.
  3. To guide the result with existing images, select up to four raster images in the library, then select Selection under Reference images.
  4. Enter a Prompt describing the image you want.
  5. Choose Square, Landscape, or Portrait and select from one to four Variations.
  6. Select Generate. Select Cancel generation if you need to stop the active batch.

Reference images guide the result; they are not changed. Remove a reference from the panel if you no longer want it included. You can also right-click a selected image and choose Generate Variations with AI to open the panel with supported selected images already added as references.

Each variation completes independently. When results appear:

  • select a result to inspect a large preview;
  • select Keep or Keep image to save that result in the current workspace's library;
  • select Keep all to save every successful result;
  • select Discard to remove an unkept result from the current generation session.

Only results you keep become Media Library items.

Edit a raster image

Edit Image is available for supported raster images. It is not available for SVG, animated GIF, AVIF, video, audio, or document items.

To open the image editor, select one supported image and use one of these methods:

  • open its detail view and select Edit image;
  • right-click it and select Edit Image; or
  • press Command-E on macOS or Ctrl-E on Windows.

The image editor keeps the original unchanged. Each applied operation creates a new revision that you can inspect before saving a new asset.

The available tools are:

  • Hand pans the image. Scroll to zoom around the pointer.
  • Crop supports a free crop and 1:1, 4:3, 3:2, and 16:9 aspect ratios. Drag the crop handles or enter its position and size, then select Apply crop.
  • Rotate & flip rotates the image 90 degrees or flips it horizontally or vertically.
  • Resize & canvas changes the image dimensions or changes the surrounding canvas. A larger canvas adds transparent space; a smaller canvas trims the edges. The anchor controls where the existing picture stays.
  • Adjust changes exposure, contrast, highlights, shadows, saturation, temperature, and tint. Select Apply to create the adjusted revision.
  • Edit with AI creates provider-generated revisions from an instruction and optional reference images.

Use Undo and Redo to move through recent revisions. Before, Split comparison, and Side-by-side comparison compare the active revision with its parent. The revision history along the bottom lets you return to an earlier result.

Edit an image with AI and references

  1. Open a supported raster image in the image editor.
  2. Select Edit with AI, then choose an image-edit model.
  3. Select Choose reference images to search the current library and choose additional raster images. The counter in the panel shows the current model's reference limit.
  4. Give each reference a role: Subject, Composition, Style, or Palette.
  5. Under Describe the edit, explain what should change. Use Avoid for elements you do not want in the result.
  6. Choose Preserve, Balanced, or Creative. These choices guide the prompt; they are not pixel locks.
  7. Under Preserve, choose which source traits the prompt should protect: Subject, Composition, Geometry, Text & logos, or Palette.
  8. Choose the number of Variations, an Output size, and Transparent background when the selected provider supports it.
  9. Select Edit with AI.

The source image is always part of the request and does not count as an additional reference. Unsupported controls are disabled and explain why they are unavailable for the selected provider.

When a result is ready, select it to compare Result, Parent, or Side by side. Select Use, or select Continue editing from the large preview, to add that result as a new revision. Discard removes the result without adding it to the revision history. A used result is still not a new library item until you select Keep.

Keep an edited image as a new asset

  1. Make the revision you want active, then select Keep.
  2. Choose PNG, JPEG, or WebP. JPEG provides a quality control and always removes transparency. PNG and WebP keep transparency unless you choose to flatten it onto white.
  3. Keep the current dimensions or enter a new width and height. Lock aspect ratio keeps the proportions together.
  4. Turn on Copy source details if the new item should copy the source notes, source address, and rating. Embedded EXIF and location data are not copied.
  5. Enter the file name and select Keep.

The edited result appears as a new Media Library item. The source item remains unchanged.

Remove an item or delete its workspace copy

Check the confirmation message before removing media:

  • Delete Permanently… deletes a Media Library-owned file from the current workspace. This cannot be undone. An original file that you imported from elsewhere remains separate and is not deleted.
  • Remove from Library removes an item from the library list but keeps its backing file because a note may still refer to it.
  • A mixed selection explains which files will be permanently deleted and which items will only be removed from the library.

Cancel the confirmation if the result is not what you expect.
